1. Introduction
This Privacy Policy explains how Mean3 Pvt Ltd (“we,” “us,” or “our”) collects, uses, stores and protects information when merchants install or use Logbook - Staff Activity Logs.
Logbook - Staff Activity Logs provides a searchable activity and change-history dashboard for store orders. It records supported order changes, displays before-and-after values, attributes activity to staff members, applications or automated processes, and allows merchants to filter and export activity records.
By installing or using Logbook - Staff Activity Logs, you acknowledge the practices described in this Privacy Policy.
2. Information We Process
Logbook - Staff Activity Logs may process the following categories of information.
Merchant and store information
We may process information associated with the store that installs the app, including:
- Store name and store domain
- Store identification information
- Installation and subscription status
- Selected pricing plan
- App authentication and access information
- Staff information made available through order activity or event history
Order activity information
Logbook - Staff Activity Logs processes order information required to detect and display supported changes, including:
- Order number or order name
- Order tags
- Shipping-address information
- Line items, product names and quantities within an order
- Discounts
- Shipping methods and shipping charges
- Payment status
- Fulfilment activity
- Refund activity
- Staff notes added to an order timeline
- Dates and timestamps associated with order activity
Customer information
Order payloads may contain customer information connected to an order. Logbook - Staff Activity Logs accesses this information only as necessary to identify the order and display relevant order activity.
Depending on the order and the change being recorded, this may include:
- Customer name or identifier
- Shipping-address information
- Customer information associated with the order
- Order and transaction-related information
Logbook - Staff Activity Logs is not intended to create independent customer profiles or use customer information for advertising.
Staff and activity-attribution information
To identify who made an order change, Logbook - Staff Activity Logs may process:
- Staff user identifiers
- Staff member names
- Order-event history
- Application names
- Automated system activity
- Activity timestamps
When direct staff identification is unavailable, Logbook - Staff Activity Logs may correlate an order change with an order event occurring within a similar period. Any attribution produced through this method is clearly labelled as inferred.

We may process technical information needed to operate, secure and troubleshoot the app, including:
- Webhook delivery information
- Event timestamps
- HTTP status information
- Request-processing times
- Error and diagnostic information
- Encrypted app access tokens

- The app installation and authentication process

- Merchant and staff use of the Logbook - Staff Activity Logs dashboard
- Support communications sent directly to us
Logbook - Staff Activity Logs begins recording supported activity after installation. It does not import order-change history from before the app was installed.
4. How We Use Information
We process information to:
- Provide the Logbook - Staff Activity Logs service
- Detect specific changes made to orders
- Compare current order information with previously stored information
- Display before-and-after values
- Record staff notes and order events
- Attribute changes to staff members, applications or automated processes
- Provide search, filtering and priority controls
- Generate CSV exports requested by merchants
- Apply plan-based log-history limits
- Maintain app security and reliability
- Diagnose technical problems
- Respond to support requests
- Prevent misuse or unauthorized access
- Comply with legal, privacy and platform requirements
We do not use order or customer information for unrelated advertising or marketing purposes.
5. Read-Only Access
Logbook - Staff Activity Logs requests read-only access to store information required for its functionality.
The app does not use its store API access to:
- Edit orders
- Change customer information
- Modify products
- Issue refunds
- Create fulfilments
- Update payment information
- Make other write changes to the store
6. How Information Is Shared
We do not sell personal information.
We may share information only in the following circumstances:
Service providers
We may use trusted service providers to host, store, secure or maintain Logbook - Staff Activity Logs. These providers may process information only as necessary to perform services on our behalf.

- Namecheap — database provider
Platform provider
Information is exchanged with the commerce platform through its APIs, webhooks, event history and hosted subscription system to provide the app’s functionality.
Legal requirements
We may disclose information where required to comply with applicable law, regulation, legal process or a valid governmental request.
Business changes
Information may be transferred as part of a merger, acquisition, financing, restructuring or sale of all or part of our business, subject to appropriate confidentiality and privacy protections.
7. Data Retention
Logbook - Staff Activity Logs retains information only for as long as reasonably necessary to provide the service, meet contractual requirements, resolve disputes, maintain security and comply with applicable legal obligations.
The selected subscription determines how much history is visible in the dashboard:
- Silver: Last 7 days
- Gold: Last 14 days
- Platinum: Last 30 days
The visible plan window is not necessarily the same as the underlying personal-data retention period. When a merchant downgrades, older activity may become hidden rather than being immediately deleted.
Personal information is removed through a scheduled retention process after six months.
When the app is uninstalled, the stored access token is cleared after the app receives the uninstall notification. We also process valid store and customer deletion requests through the required privacy webhooks.
8. Data Security
We use reasonable administrative, technical and organizational safeguards designed to protect information against unauthorized access, disclosure, alteration, loss or misuse.
These safeguards include:
- Read-only API permissions
- Encryption of stored access tokens
- Access controls
- Secure webhook handling
- Data-retention controls
- Privacy-request processing
- Monitoring and diagnostic procedures
No internet-based system is completely secure. We therefore cannot guarantee absolute security.
9. Privacy Requests and Individual Rights
Depending on the applicable law, merchants, customers and other individuals may have rights concerning their personal information, including the right to:
- Request access to personal information
- Request correction of inaccurate information
- Request deletion of personal information
- Request restriction of certain processing
- Object to certain processing
- Request a portable copy of information
- Withdraw consent where processing relies on consent
- Submit a complaint to an applicable privacy authority
Public apps are expected to support standardized privacy rights for personal data, regardless of the individual’s location.
Logbook - Staff Activity Logs supports the required privacy-request processes, including:
- Customer data requests
- Customer data deletion requests
- Store data deletion requests

10. Merchant Responsibilities
The merchant remains responsible for:
- Determining whether Logbook - Staff Activity Logs is appropriate for its business
- Informing customers and staff about relevant data processing
- Maintaining its own legally compliant privacy notices
- Responding to requests submitted directly by customers
- Using exported activity records securely
- Limiting dashboard access to authorized users
- Complying with applicable privacy and employment laws
Where Logbook - Staff Activity Logs processes customer information on behalf of a merchant, the merchant generally determines why the information is processed, while we process it to provide the app’s services.
11. International Data Transfers
Logbook - Staff Activity Logs may process or store information in countries outside the country where the merchant, staff member or customer is located.
Where required, we use appropriate safeguards for international transfers, such as contractual protections or another legally recognized transfer mechanism.
12. Cookies and Analytics
Logbook - Staff Activity Logs may use essential cookies or similar technologies required for authentication, security, session management and app functionality.
When analytics or monitoring services are used, this policy will identify:
- The provider’s name
- The information collected
- The reason it is collected
- Available opt-out choices
13. Payments and Subscriptions
Subscription selection and billing are handled through the platform’s hosted app-pricing and billing system.
Logbook - Staff Activity Logs does not directly collect or store merchants’ payment-card information.
14. Children’s Privacy
Logbook - Staff Activity Logs is a business application intended for merchants and authorized business users. It is not directed toward children, and we do not knowingly collect personal information directly from children through the app.
15. Changes to This Privacy Policy
We may update this Privacy Policy to reflect changes to Logbook - Staff Activity Logs, our data-handling practices, legal requirements or service providers.
When material changes are made, we will update the “Last updated” date and provide additional notice where required.
